Your trust is essential to us. This Privacy Policy explains how Special Events México collects, uses, protects, and stores your personal information when you contact us, request a quote, or book our services for weddings, social events, and corporate productions.

1. Data We Collect

When you reach out to us by email, website form, phone, or through a Wedding Planner, we may collect the following information:

  • Basic contact details: name, email address, and phone number.
  • Event information: event date, approximate schedule, type of event, and estimated number of guests.
  • Venue information: venue name, location, and any special conditions relevant to SFX and logistics.
  • Coordination details: name and contact details of your Wedding Planner or coordinator, if applicable.
  • Any preferences you voluntarily share regarding style, effects, or special requests.

2. How We Use Your Data

We use your information exclusively to plan and deliver your event safely and professionally. Specifically, your data is used for:

  • Preparing accurate quotes based on your event date, venue, and requested services.
  • Coordinating logistics, schedules, and technical requirements with you and/or your Wedding Planner.
  • Ensuring compliance with venue rules and local safety regulations for fireworks and SFX.
  • Sending booking confirmations, invoices, and essential updates related to your event.

Client data (event date, venue, contact information) is used strictly for quoting and coordination purposes. We do not use this information for unrelated marketing without your prior consent.

3. Data Security & Confidentiality

We take the security of your information seriously. Our goal is for you and your clients to feel completely at ease when sharing event details with us.

  • We store your data in controlled systems with access limited to team members who genuinely need it for quoting, planning, and executing your event.
  • We use reasonable administrative and technical safeguards to reduce the risk of unauthorized access, loss, or misuse of your information.
  • We train our team to handle client information with discretion and professionalism, especially when working with high-profile or high-end events.

Your information is never sold, rented, or shared with third parties for independent commercial purposes. We may share limited details only when strictly necessary to fulfill your event (for example, with a venue or supplier that requires technical specifications), and always with a focus on discretion and safety.

4. Data Retention

We keep your information only for as long as reasonably necessary to:

  • Provide quotes and follow up on your inquiries.
  • Plan, execute, and support your event before, during, and shortly after the date.
  • Comply with legal, tax, and accounting obligations.
  • Maintain internal records of past events to improve service quality for repeat clients and planners.

When data is no longer needed for these purposes, we take steps to securely delete or anonymize it, in line with applicable legal requirements.

5. Your Rights

Depending on applicable law, you may have the right to access, correct, or request deletion of your personal information held by us. We are happy to support reasonable requests, especially from Wedding Planners managing multiple events with Special Events México.

6. International Clients & Cross-Border Events

Many of our clients and Wedding Planners are based outside México. Regardless of your country of residence, your data will be handled with the same level of care and confidentiality described in this Policy, and stored primarily in México or on secure international services that we use to run our business (for example, email and project management tools).

7. Updates to This Policy

We may update this Privacy Policy from time to time to reflect changes in our services, technology, or legal obligations. When we do, we will revise the “Last updated” date and, where appropriate, inform you through our usual communication channels.

Terms & Conditions

These Terms & Conditions govern all bookings made with Special Events México, a premium event production and special effects (SFX) company based in Cancún, Quintana Roo, México. By confirming a booking, you acknowledge that you have read, understood, and agreed to the following terms on behalf of yourself, your client, and any related third parties.

1. Booking & Confirmation

1.1 All proposals, quotes, and availability are subject to change until a booking is confirmed in writing by Special Events México.

1.2 A 50% non-refundable deposit of the total quoted amount is mandatory to secure the event date and lock the selected special effects in our operations agenda. Until this deposit is received, the date, time, and effects are considered tentative only and may be released or reassigned without notice.

1.3 The remaining 50% balance must be settled within the timeframe indicated on your invoice or, unless otherwise agreed, no later than 72 hours before the event start time. Failure to complete payment may result in suspension or cancellation of services, without refund of any deposit already paid.

2. Cancellations & Penalties

We understand that events may change. However, due to the complexity of logistics, staffing, and permits for premium SFX, the following cancellation policy applies to all confirmed bookings:

  • Less than 14 days before the event: 50% penalty of the total contracted amount.
  • Less than 72 hours before the event: 75% penalty of the total contracted amount.
  • Less than 36 hours before the event: 100% penalty of the total contracted amount.

Any penalties will be calculated on the full service value, not only on the unpaid balance. The initial 50% deposit is expressly non-refundable and will be applied toward any applicable penalty amount.

3. Rescheduling & Modifications

3.1 Any request to change the event date, venue, schedule, or selected SFX must be made in writing and is subject to availability, additional fees, and updated permits or venue approvals where required.

3.2 In the event of a reschedule, the original 50% non-refundable deposit may, at the sole discretion of Special Events México, be applied to the new date, provided that operational and calendar conditions allow it. If a suitable new date cannot be agreed, the applicable cancellation penalties will apply.

4. Safety, Venue Authorization & Weather Conditions

Your safety and that of your guests, venue staff, and our team is our highest priority. All SFX are designed and operated by trained professionals following industry best practices and local regulations.

  • All aerial fireworks and SFX are strictly subject to venue authorization, local regulations, and any permits or licenses required by authorities.
  • Execution of aerial fireworks and outdoor effects is also subject to weather safety, including but not limited to wind, rain, humidity, and lightning conditions.
  • Special Events México reserves the right, at its sole professional discretion, to modify, postpone, or cancel specific effects on-site if safety standards cannot be guaranteed.

In cases where safety or legal compliance does not allow certain effects to be executed as originally planned, we will make reasonable efforts to offer safe alternatives. Any refunds or credits in such situations will be evaluated case by case, taking into account non-recoverable costs (permits, products, logistics, and staffing).

5. Client Responsibilities & Venue Coordination

5.1 The client or appointed Wedding Planner is responsible for providing accurate event information, including venue details, timelines, floor plans when available, and any venue-specific regulations affecting SFX, power, or logistics.

5.2 The client is responsible for obtaining written approval from the venue, hotel, or property management when required. We will gladly support with technical specifications and safety documentation, but final authorization from the venue is beyond our control.

5.3 The client agrees to ensure that guests and other vendors respect the safety perimeter and instructions of our on-site team during setup, execution, and strike of SFX elements.

6. Liability & Limitations

6.1 While we take all reasonable precautions, Special Events México shall not be liable for indirect, incidental, or consequential damages, including but not limited to loss of enjoyment, reputation, or profit, arising from the performance or non-performance of services, except in cases of proven gross negligence or willful misconduct by our company.

6.2 In all cases, the maximum liability of Special Events México shall be limited to the total amount actually paid for the services in question.

7. Intellectual Property & Media Use

Unless otherwise agreed in writing, the client authorizes Special Events México to capture and use photographic and video material of our SFX and setups during the event for portfolio, social media, and promotional purposes, always with discretion and respect for the privacy of guests. Names and personal details of clients are not shared without explicit consent.

8. Governing Law & Jurisdiction

These Terms & Conditions are governed by the laws of México. Any dispute arising from the interpretation or execution of these terms shall be submitted to the competent courts of Cancún, Quintana Roo, México, unless otherwise required by mandatory local consumer protection laws.

If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
